TABLE OF CONTENTS

Guardian administrators can use the Data Importer to create or update multiple Incident Type Auto-Assign Rules through a CSV file. This can reduce the time required to configure assignment rules individually.

Auto-Assign Rules apply configured notification and case assignment values when a case matches the applicable Incident Type, Location, and Building.

Before You Begin

Confirm that the Incident Types, locations, buildings, and users referenced in the import file already exist in Guardian. Values entered in the file must match the existing Guardian configuration.

You must also have access to Configurations and the Data Importer.

Downloading the Import Template

  1. Select Configurations from the main navigation menu.

  2. Select Data Importer from the configuration menu.

  3. Select the Auto-Assign Rules tab.

  4. Select Download Data Template File.

The template contains the following columns:

ColumnRequirementDescription
Incident Type ParentRequiredThe parent category associated with the Incident Type.
Incident TypeRequiredThe Incident Type to which the Auto-Assign Rule will apply.
LocationRequiredThe location associated with the rule. This should match a location in the Locations tab of your Guardian Configurations.
BuildingRequiredThe building associated with the selected location. This should match a building in the Buildings tab of your Guardian Configurations.
Notification UsersOptionalThe email address of an existing Guardian user who should receive applicable notifications.
Case OwnerOptionalThe email address of the existing Guardian user who should be assigned as the Case Owner.
Case InvestigatorsOptionalThe email address of an existing Guardian user who should be assigned as a Case Investigator.

Each row in the completed file represents an Auto-Assign Rule.

Preparing the Import File

The downloaded template includes reference information in rows 2 and 3 describing the accepted field length and whether each field is required or optional.

Delete rows 2 and 3 before uploading the completed file. Do not remove or rename the column headers in row 1.

Enter each value exactly as it appears in Guardian. This includes:

  • Incident Type and parent Incident Type names

  • Location and Building names

  • User email addresses

Email addresses entered under Notification Users, Case Owner, or Case Investigators must match existing Guardian user profiles. If an email address cannot be matched, that value will be rejected.

Save the completed import data as a CSV file.

Example Completed Import File

The following example demonstrates how Auto-Assign Rule information can be entered in the import file. Replace these examples with the exact Incident Types, locations, buildings, and user email addresses configured in your Guardian environment.

Each row represents a separate Auto-Assign Rule. Values must match the corresponding Guardian configuration exactly.

Uploading the File

  1. Return to Configurations > Data Importer.

  2. Select the Auto-Assign Rules tab.

  3. Drag the completed file into the upload area or select the upload area to choose the file from your computer.

  4. Confirm that the correct file appears in the upload area.

  5. Select Schedule for processing.

Guardian will validate the submitted information and process the applicable Auto-Assign Rules.

Verifying the Imported Rules

After the import has been processed:

  1. Navigate to Configurations > Incident Types.

  2. Locate the applicable Incident Type.

  3. Select Auto Assign.

  4. Review the imported associations, including the Location, Building, Notification Users, Case Owner, and Case Investigators.

Imported rules follow the same assignment logic as Auto-Assign Rules configured manually within Guardian.

Reviewing Import Errors

Rows containing invalid or unmatched information will not be partially applied. Guardian will instead generate an error file identifying the information that requires correction.

To review an error file:

  1. Navigate to Configurations > Display Settings.

  2. Select the Error Files tab.

  3. Locate the most recent error file based on its date and time.

  4. Select the download button beside the file.

The error file identifies:

  • The affected row

  • The column containing the error

  • The submitted value

  • The reason the value was rejected

For example, if an email address listed as a Notification User, Case Owner, or Case Investigator does not match an existing Guardian profile, the error file will identify the affected row, email address, and matching error.

Correct the rejected information in the CSV file and upload the revised file through the Auto-Assign Rules importer.

Important Considerations

  • Keep the original column headings unchanged.

  • Delete the template guidance rows 2 & 3 before importing the file.

  • Use the exact names and email addresses currently stored in Guardian.

  • Verify that each Building is associated with the Location entered in the same row.

  • A rejected row will not create a partially configured Auto-Assign Rule.

  • Successfully processed rules should be reviewed under the applicable Incident Type after the import is complete.
